當你的下屬向你提出想在年下最忙的時候休假兩週的要求；當你的客戶要求你給出超過公司能提供的貨件交期；當你的長官詢問你是否可以把你已經排好的假期延後……諸如此類的情況，要如何透過書信拒絕對方是一種藝術，說不清楚不僅造成誤會，信件不斷往返更浪費彼此時間。

把「拒絕信」變成解決問題的「溝通信」

拒絕信的重點除了是要清楚告訴對方「恕難從命」之外，不妨給對方「其他建議的選擇（leave the door open）」。信件重點可以從「拒絕」轉換成「你能做什麼」，這需要換位思考一下，用軟性的語言提到「我可以理解為什麼你要求如此……」，並且適度提供處理方式。如此便能將一封商業往來的拒絕信，變成積極解決問題的溝通書信。

書信寫作步驟 Step by Step

STEP 1 招呼

We have reviewed your vacation request for the period September 1st -10th.
我們已經看過你提出從9 月1 日到10 日的休假申請。

STEP 2 拒絕

Usually, our company’s busiest time of the year is in Fall and you play such a key role. I can to-tally understand how it can be frustrating and disappointing, but I’m afraid that I have to de-cline your request.
通常，我們公司一年之中最忙的時間就是在秋天，並且你在其中扮演著關鍵角色。我可以理解這對你來說有多令人沮喪及失望，但我必須拒絕你的要求。

STEP 3 進一步提出建議方案

Although we can’t give you the week of September 1st off, but alternatively you could take the week of October 7th off.
